Supporting NCW25: How can clients help their Conveyancer?

The Conveyancing process – whether for buying, selling or remortgaging – can be a very complicated and time-lengthy process. But did you know that as a client, you could help your Conveyancer complete the process of your home-moving journey much smoother and quicker?

How?

By following some (or all) of these steps, you’ll be on your way to completion date in no time!

Ensure your Mortgage Adviser/Broker has completed their steps

Before your Conveyancer can proceed smoothly with your case, it’s important that your Mortgage Adviser/Broker has finalised all necessary paperwork and submitted the mortgage offer. This will help make sure that your Conveyancer has everything they need to proceed without delays.

Send all the required documents as soon as possible for checks

By completing all the necessary documents as soon as your Conveyancer assigns these to you near the start of the transaction, it can really help speed up the process and enhance organisation from the get-go.

Here are some of the key documents to complete as soon as possible:

  • Proof of Identity & Address – Have your passport, driving licence, and utility bills ready for anti-money laundering (AML) checks.
  • Proof of Funds – Provide bank statements, savings records, or loan agreements to show where your funds are coming from.
  • Leasehold Information (if applicable) – If selling a leasehold property, make sure you have the management pack from the freeholder or managing agent as early as possible. Our Conveyancers can help you with this, but please make sure you have details of your management company/landlord ready!

Complete your paperwork promptly and accurately

Whilst it’s important to complete all your necessary paperwork in a timely manner, it’s just as important to ensure that these documents are also completed accurately and correctly too.

Examples of some forms you’ll most likely need to complete include:

  • Client Care Pack – Conveyancers initially send Client Care letters and forms at the beginning of the transaction. By returning these as quickly as possible, this will help prevent delays.
  • Property Information Forms (TA6, TA10, TA7 for leasehold) – If you’re a Seller, you should complete these forms accurately and provide supporting documents, such as FENSA certificates, gas/electric safety checks, and guarantees.

If in doubt, always ask your Conveyancer if you’re unsure about a section.

Communicate clearly & regularly with your Case Handler throughout

  • Reply back to enquiries in a timely manner- Alongside completing all the necessary forms and paperwork, should your Conveyancer require more information or some clarification from you, it’s always advised to respond back as soon as possible to avoid any hold up.
  • Update your Conveyancer when circumstances change.

Arrange your finances in advance

Did you know that some banks do not allow the transfer of more than £10,000 in a day? With this in mind, it’s always good to be prepared in advance for these situations, all to help ensure a smoother transaction.

  • Deposit funds – for when it’s time to exchange, ensure your deposit is accessible and also check with your Lender about any additional checks that may be required beforehand.
  • Bank transfers – It’s also important to note that large transactions can take time to process, so check with your bank in advance.

Be flexible with dates

As part of the transaction, other necessities that require appointments also need to be factored into the timeline as a whole.

  • Appointments such as surveys and valuations – Try to arrange property surveys or mortgage valuations as soon as possible.
  • Completion and moving dates – Be flexible and realistic when setting dates, especially when you’re part of a long chain.

By being proactive and organised, you as a client can significantly reduce delays and help your Conveyancer move things forward with your case more efficiently.
